Cancellation & Refund Policy

We understand that plans can change. Because B&B Sanctuary experiences involve advance commitments for transportation, admission, food and beverage, staffing, personalized guest amenities, and other arrangements, reservations are subject to the following cancellation and refund policy.

By purchasing a reservation, you acknowledge and agree to these terms.

Guest Cancellations

More than 45 days before departure
Guests may request a refund of payments made toward their reservation, less the required non-refundable deposit.

44 days or fewer before departure
All payments become non-refundable, including deposits and remaining balances.

Reservations may still be transferred to another eligible participant in accordance with the Ticket Transfer policy below.

Deposits & Final Payments

A deposit is required to secure your reservation and is non-refundable, except where otherwise provided by this policy or required by law.

Any remaining balance must be paid by the final payment deadline stated at the time of booking. Reservations that are not paid in full by the deadline may be cancelled and released.

Ticket Transfers

If you are unable to attend, you may request to transfer your reservation to another eligible participant.

Transfer requests must be submitted in writing no later than 72 hours before departure and are subject to B&B Sanctuary approval. The replacement guest must complete all required registration, payment, waiver, and policy requirements before the transfer is finalized.

For First Class reservations, the replacement guest must assume the same reservation class unless otherwise approved by B&B Sanctuary.

Waitlist & Replacement Guests

If a cancelled reservation is successfully filled by a waitlisted guest or an approved replacement participant, B&B Sanctuary may, at its discretion, provide partial reimbursement based on the amount recovered and any non-refundable costs associated with the original reservation.

Reimbursement is not guaranteed and is separate from the standard cancellation policy.

No-Shows

Guests who do not attend their scheduled experience are not eligible for a refund or credit.

Transportation will depart according to the published schedule, and guests are responsible for arriving at the designated departure location on time.

Minimum Enrollment & Trip Confirmation

B&B Sanctuary experiences are limited-capacity and subject to minimum enrollment.

B&B Sanctuary will notify guests once an experience has been officially confirmed. If minimum enrollment is not met and B&B Sanctuary cancels the experience, all amounts paid directly to B&B Sanctuary will be refunded to the original payment method.

Once an experience has been confirmed, it will proceed as scheduled regardless of subsequent individual cancellations.

Organizer Cancellation

B&B Sanctuary reserves the right to cancel or postpone an experience due to insufficient enrollment, circumstances beyond its reasonable control, or other conditions that make the experience impractical or unsafe to operate.

If B&B Sanctuary cancels an experience, guests will receive a refund of all amounts paid directly to B&B Sanctuary or, where applicable, the option to transfer their reservation to a rescheduled experience.

Unforeseen Circumstances

Circumstances such as severe weather, transportation disruptions, venue closures, government restrictions, natural disasters, public health emergencies, or other extraordinary events may require B&B Sanctuary to modify, postpone, or cancel an experience.

If circumstances beyond B&B Sanctuary's reasonable control affect the experience, guests will be notified as soon as reasonably possible and available options will be communicated.

B&B Sanctuary is not responsible for expenses guests arrange independently, including airfare, lodging, childcare, transportation to or from the departure location, or other personal expenses.

Changes to the Experience

B&B Sanctuary reserves the right to make reasonable changes to the itinerary, schedule, transportation, dining, vendors, amenities, or other components of an experience when necessary.

Such changes do not automatically entitle guests to a refund, provided that B&B Sanctuary continues to deliver the experience in substantially the manner described at the time of booking.

How to Request a Cancellation or Transfer

All cancellation and transfer requests must be submitted in writing to B&B Sanctuary and should include:

  • Guest's full name

  • Reservation number

  • Name of the experience

  • Nature of the request

  • Replacement guest information, if requesting a transfer

The effective date of a cancellation is the date B&B Sanctuary receives the written request.
